Booking questions
From the organiser's Help guide. This is the page an organiser reads inside their own admin, exactly as they see it. On the demo you can read it but not open the admin behind it.
Events → Booking Questions → Add question
These are asked while someone books. Attach a question to one event, or to a whole series so every date uses it.
Name and email are already on every booking form, and everyone has to fill them in, so don't add them as questions — they would be asked twice. You'll find them on each booking.
- Type — a health checklist, tick-to-agree, an info note, yes/no, choose one, choose any, short or long text, a mailing-list opt-in, or a solidarity payment. (You don't need to add the solidarity box: every event has it while the Solidarity switch is on. Edit its wording under Booking questions, or give one event its own. Who sees it, and the give-to-the-fund link, are on the Solidarity fund page.) For choices, type one option per line.
- Places per booking, right on the list — every event's heading in the list has a Places per booking box (the same setting as on the event form). It decides whether one person can book for friends. A booking carries one set of answers, so if you want every person to answer something for themselves — a health checklist, an emergency contact — set it to 1. A health checklist does this by itself: the heading shows a lock, “1 place per booking”, and the event stays at 1 while the checklist is on — switch it off (untick Active) to allow group bookings again. See Places per booking.
- Order sets the order they appear (0 first, then 1, 2…). You can change these numbers straight on the list and press Save.
- Active — untick to stop asking a question without deleting it or losing past answers. You can untick it straight on the list (then press Save at the bottom), or inside the question.
- Add a link — paste a web address into Link web address (an Airbnb, a restaurant, a map) and optionally your own wording. It opens in a new tab. A web address typed into the question wording itself won't be clickable.
- Grouped by event — the list puts each event's questions under its own heading, newest event first, then questions for a whole series, each in its Order. Every heading says how many questions it has, with Just these (only that event's questions) and Add a question here (the event already filled in).
- Filter by class or workshop using the bar above the list to see just one event's questions. It also tells you how many each event has. Clicking a column heading to sort, or picking an event, shows a plain list instead of the groups.
- From the event itself — on an event's overview, under More, use Booking questions (N) to see its questions, or Add a question for this event to write a new one with the event already chosen. A weekly class has the same buttons at the top right of its own page.
- Using a question on more events — when writing a question, tick other events under Also add this question to…. Or tick questions in the list and choose Add to a class or workshop…; any event that already has a question is skipped.
- Copy questions from another event — on a new event's overview (save it first), under More, press Copy questions from another event, pick the event whose questions you want and press Copy these questions. They all come across in the same order, ready to change or remove. Any the event already has are left alone, so nothing doubles up. (Making a new event from an old one? Duplicate event copies its questions along with everything else.)
- “All my questions” (top right of the list) shows each question you've written once, however many events use it, with where it's used and whether it's switched on. The ordinary list has a row per event, so a question you've reused appears once per event. Click any question there to open every copy of it.
Switching a question off, or deleting it
A question a booking form shouldn't ask any more (say you added the same one twice):
- Switch it off (safest): untick Active on its row in the Booking questions list and press Save at the bottom of the list. It stops being asked, and any answers already given stay on the bookings. Tick it again to bring it back.
- Delete it: tick the box at the start of its row, choose Delete selected booking questions from the Action menu above the list and press Go, then confirm. Or open the question and press the red Delete button at the bottom. Answers already given are kept on the bookings (with the question's wording), but the question is gone for good.
- Using a question on several events? The list has one row per event, so switch off or delete only the row for the event you mean. All my questions shows where each one is used.
Terms and refund policy: the booking form ends with “I agree to the terms & refund policy”, with the policy itself one click away in a pop-up on the page, so nobody has to leave the form to read it. If you'd rather show the wording on the form itself, write an Agree to a policy question whose title mentions terms, refund or cancellation (“I agree to the refund policy”, with the policy as its text): that question then stands in for the built-in tick, which steps aside so there's never two.
Mailing list: booking forms normally end with “Keep me posted about future classes and workshops”. As soon as you create a mailing-list question for an event, yours takes over and the standard one steps aside — so there are never two. Untick Active on yours and that event asks nothing about the mailing list at all.
