Discount codes
From the organiser's Help guide. This is the page an organiser reads inside their own admin, exactly as they see it. On the demo you can read it but not open the admin behind it.
Money → Discount Codes → Add discount code
A discount code is a word you give people — SPRING20, say — that takes money off when they book. You make each code once and then switch it on for the events it's for, so you never have to change a price or add a special price to an event.
1. Make the code
Give it the code people will type (4 to 20 letters,
numbers or hyphens — capitals don't matter), a name so you
remember what it's for (only you see this, e.g. Returning dancers
2027), and the discount: either a percentage
(type 20 for 20% off) or a fixed amount in pounds (type
5 for £5 off). A fixed amount comes off the whole booking once,
not once per place.
2. Switch it on for the events it's for
Open the event's form and, under Booking options, tick the code in Discount codes, then Save. Do this on each event the code should work on. If a code is for everything, tick Works on all events on the code itself instead — it then shows already ticked (greyed out) on every event. The event list has a Codes column so you can see at a glance which events have one.
3. Give the code to people
Send it however you like — an email, a message, a flyer. On the booking form they'll see a Discount code box above the total. They type the code, press Apply, and the new total shows straight away, before they pay. The box only appears on events with a code switched on, and never on free events.
The discount comes off the price of the places (after any “book every date” discount), never off a solidarity contribution, and never takes a booking below £0. If it would leave less than £0.30 to pay — too little for a card payment — the place is simply free.
The solidarity box
Normally only guests on your top price see the “Solidarity contribution” box on the booking form. Every code has Offer the solidarity box ticked, so people using it see the box too, whichever price they choose — a code you give for a reason other than hardship can still invite a gift. Untick it on a concession code if you'd rather not ask. (Only while the Solidarity switch is on; see Solidarity fund.)
Limits — all optional
| Valid from / Valid until | The code only works between these dates (both days included). Leave blank for any time. |
|---|---|
| Maximum uses | How many bookings may use it. Paid bookings and people part-way through paying count; a booking that was never finished, or was cancelled, gives its use back. |
| Active | Untick to switch a code off everywhere. To switch off several at once, tick them in the list and choose Switch off selected codes. |
If someone types a code that's wrong, switched off, out of date, used up or not for that event, they see one plain message: “That code isn't valid for this event.”
Seeing who used a code
A booking made with a code shows the code and the saving on the booking itself, in the confirmation and receipt emails, and on the guest's My bookings page. In Bookings, use the By discount code filter on the right to list everyone who used one; Export selected to CSV includes the code and saving too. The Discount codes list shows how many times each code has been used.
