Classes & workshops
From the organiser's Help guide. This is the page an organiser reads inside their own admin, exactly as they see it. On the demo you can read it but not open the admin behind it.
Events → Events → Add event
First choose what kind of event it is: Weekly class, One-day workshop, Course over several dates, Retreat or residential or Something else. The form then opens just the parts that kind of event needs; everything else is still there under a closed heading marked “(more options)”, one click away. When you open an existing event later, it opens the same way for its kind (a course, a retreat, a workshop), and any section with something already set in it stays open. The links down the side (across the top on a phone) jump to each section, and Save (and Save & view overview) stays at the bottom of the screen as you scroll. Each section has a Help link to the page about it. Fill in the title, the date and time, where it is, and how many people can come (capacity). Then add your prices at the bottom and save.
The sections, in order: About the event (title, kind, description, teacher, venue) · When and how many (dates, times, capacity, places per booking) · Course dates (one row per date, for a course) · Selling by the date (two settings most events leave alone) · Prices · Rooms (retreats) · Booking options (applications, terms, discount codes) · Instalments · Picture (with More pictures inside it) · Publish. Each section has its own colour on its heading and on the link down the side, so you can find it at a glance; the coloured strip at the top sums up how the event sells. A section marked “more options” is closed — click its heading to open it.
Places per booking sits next to Capacity under When and how many. It is how many places one person may book at once. 1 (the usual setting) means everyone books for themselves. Set it to 2 or more to let someone book for friends: the booking form shows a Number of places box, the price and any deposit multiply by the number, and the booking shows “×3” in your lists. The coloured strip at the top of the event form tells you at a glance what it's set to.
Health checklists mean one place per booking. A booking carries one set of answers, and a health checklist must be answered by the person it's about — so any event that asks one sells one place per booking, and its Places per booking box is locked at 1 with a note saying why. Add a health checklist to an event that allowed more and it comes down to 1 by itself. Want group bookings on that event? Switch the checklist off (untick Active under Booking questions) and the box unlocks. Want something else answered per person — an emergency contact, say? Just set Places per booking to 1, on the event or straight from the Booking questions list.
Weekly classes don't need adding one night at a time. On the same first screen, press Add term dates next to the class (or Set up a new weekly class the first time; your classes are also under Events → Weekly Classes). Give the first and last class and any weeks off, and pick a past class night to copy prices and questions from. Press Show me the dates to see the list before anything is made; then press Add and every week appears as a draft (or live, if you tick Publish straight away). Weeks that already have a class are left alone.
The event overview. In the Events list, click an event's title to see it at a glance: places taken (per date or room), money paid so far, who's booked, anyone waiting, and health notes to read, with Check in, Print register and Copy booking link at the top. Edit beside the title (or Edit this event on the overview) opens the form.
- Times can be typed however you like —
14:30,14.30or2:30 pm. A bare2.30means half past two in the morning, so add “pm” for the afternoon. - End date fills itself in from the start date. For a retreat or anything that ends on a later day, set the real end date and time: the site then shows the start and end days by itself. On the event page the heading gives just the dates (“Friday 12 March 2027 until Sunday 14 March 2027”); each day’s own times are listed under Dates from the sessions you add. One-day events look as they always did, with their start and finish times.
- Pictures. Picture is the main one, shown on the event's card and at the top of its page; any shape works. More pictures, further down the form, adds a gallery under it: as many as you like, in the order you set, each with an optional caption. Guests click one to see it full size.
- Published is ticked by default, so the event is live. Untick it to keep it as a draft while you finish it. You can tick and untick this straight from the Events list, then press Save.
- The Events list shows what's coming up first, soonest at the top. Use When on the right (the Filter button on a phone) to see past events, drafts or everything. Each row shows the format, places taken and a status (Draft, Live, Full, Finished or Cancelled). The format is the one you picked when adding the event; change it with Format at the top of the event form. Places taken includes any place being kept for someone from the waitlist.
- Duplicate this event (under More on the event overview) copies the whole thing — dates, prices, questions — as a draft. Much quicker than starting again. To copy several, tick them in the Events list and choose Duplicate selected events (as drafts).
- Print register (on the event overview, or Register in the Events list) — an A4 sheet of everyone booked, with a tick box per person (per date for a course), who's paid, and spare rows for people who turn up on the day. Anyone with a health note is flagged “see card”; the note itself never goes on the register.
- Copy questions from another event (under More on the event overview) brings across every booking question from an event you pick. See Booking questions.
- Cancelling an event? Use Cancel this event under More on the event overview. It shows exactly what will happen first, then takes the event off your site, refunds every card booking in full (or gives credit instead, if you use credit), puts classes back on passes, and emails everyone booked, with your own message if you write one. Cash and complimentary places are listed for you to settle yourself. Only a full admin can do this. Ticking Cancelled on the form only hides the event; it doesn't refund or email anyone.
