Organiser terms
Version 2026-10
Version 2026-10. Provider: All One Planet Ltd (company no. 11017373), Blackhall Mill, Newcastle upon Tyne NE17 7LH ("we", "us"). Registered with the Information Commissioner's Office, reference ZC188092.
1. What we provide
A hosted booking and payments website for your classes, workshops, courses and retreats, at an address we provide (yourname.bookthecircle.com) or at a domain you own, plus an admin area, automatic emails to your guests, and help by email.
2. Your account
You are responsible for the people you give logins to and for what you publish on your site (event details, prices, terms and pages). Keep your password private, and use two-step login where we ask you to. You must have the right to use any text and images you upload.
3. Payments and our fee
You must have your own Stripe account, enabled for payments and connected to your site. Card payments are taken through that account, under Stripe's terms, which are between you and Stripe. We never hold your money.
Our fee is a percentage of each booking taken through the site. It is shown in your admin and is 2% unless we agree otherwise in writing. Stripe collects it automatically when the payment is made, and it is refunded in proportion when you refund a booking.
Stripe's own fees are separate from our fee and are yours to pay. Stripe sets them and may change them at any time.
We are not responsible for any loss caused by Stripe. That includes Stripe holding, delaying, refusing or reversing payments, closing or restricting your Stripe account, its fees, and any time its service is unavailable.
There is no monthly fee or setup fee for the standard service. Extra services, such as connecting your own domain, building pages beyond your booking site, or moving your existing bookings and contacts across, are charged separately, and only when we have agreed the price with you in writing first.
4. Your guests
You are the organiser. Bookings are contracts between you and your guests, under the terms and refund policy you publish. We provide the tools; we do not run your events, take responsibility for them, or settle disputes between you and your guests.
5. Data
You are the data controller for your guests' details, and we are your processor under the Data Processing Agreement, which forms part of these terms. You must publish a privacy notice on your site (we give you a starter to edit) and use your guests' data only as it says.
6. Availability and changes
We aim to keep the service available at all times but cannot guarantee it. We back everything up every night. We may improve or change features; we will tell you in advance before we remove a feature you rely on.
We may suspend a site that is used unlawfully or that harms the service or other organisers. Unless it is urgent, we will contact you first.
7. Sites we may close
Unless we have agreed otherwise in writing, we may withdraw the service and close your site if:
- you have had no events on your site for six months in a row;
- you have not had a Stripe account connected and enabled for payments for 60 days or more; or
- you only run free events, so no bookings pay our fee.
Before we close a site for any of these reasons, we will email you at least 30 days' notice, so that you can put things right or download your data. If nothing changes, we close the site and delete its data as set out in section 8.
8. Ending the agreement
Either of us can end this agreement by giving 30 days' notice by email. You can download all your data from your admin at any time. After the end date we delete your data within 60 days, except what we must keep for legal or accounting reasons. Encrypted backup copies expire within a further 60 days.
9. Liability
We are not liable for indirect or consequential losses. Our total liability to you in any 12 months is limited to the fees we received from you in that period. Nothing in these terms limits liability for death, personal injury or fraud.
10. Changes to these terms
If we change these terms, we will email you and show the new version in your admin, and you will be asked to accept it the next time you log in.
11. Law
These terms are governed by the law of England and Wales.
12. Accepting
You accept these terms by ticking the box in your admin. We record who accepted, when, and which version.
