Terms & conditions
From the organiser's Help guide. This is the page an organiser reads inside their own admin, exactly as they see it. On the demo you can read it but not open the admin behind it.
Events → Terms & Conditions
You can keep more than one set — say Weekly classes and Residential workshops — because a workshop's cancellation charges would be absurd on a £15 drop-in. Each set has its own terms wording, its own refund policy and its own page on the website.
The terms box is optional. Most organisers only need a refund policy. Leave Terms text empty and the booking form asks people to agree to your refunds & cancellations policy instead of “terms & conditions”, and your Policies page simply leaves the terms heading out. Fill it in and both appear.
On each event, choose which set applies. Leave it blank and it uses whichever set has Is default ticked. Your privacy notice stays under Site Settings → Your details, as it covers the whole business rather than one booking.
Copy this set — the quickest way to start a second set that's mostly the same. Press Copy this set beside a set on the list (or at the top right of an open set) and confirm. The copy is called “name (copy)”, has the same wording, isn't the default, and opens straight away so you can rename it and change what differs. Then choose it on the events it applies to.
Letting guests cancel online
Each set has a Guests cancelling online section and a table of refund bands. Tick Guests can cancel online, then add one band for each step of your policy. For example, residential terms:
| Days before the start (or more) | Refund (%) |
|---|---|
| 60 | 100 |
| 30 | 50 |
| 14 | 25 |
That means 60 days or more gets everything back, 30 to 59 days gets half, and 14 to 29 days gets a quarter. Closer than 14 days there's no button and guests contact you. A single band, such as 2 days → 100%, suits weekly classes. A band at 0% lets people free their place without a refund.
Days are counted to the start of the event (a course's first date) from the day they cancel. Guests see a Cancel booking button on My bookings. It shows which band applies today and the amount in pounds before they confirm. Pressing it refunds the card through Stripe, frees the place, gives a class back to a class pack, and emails them and you. If people are on the waitlist, your email says how many, and if you let the waitlist get freed places automatically, the next person is offered it.
- Payment plans: the refund is the band's share of what they've paid so far, and the rest of the plan stops.
- Drop-ins booked for several dates: guests also see Cancel one date. Each date gets its own band, counted to that date, and the refund is the band's share of what that date cost. Their other dates stay booked.
- Solidarity contributions only go back with a 100% band. Otherwise they stay in the fund.
- Credit: if they paid partly with credit, the band's share of that comes back as credit. If you use credit instead of refunds and tick Guests cancelling online can take credit instead (Site Settings → Features), guests also get the choice of credit for everything they paid instead of their refund.
- Cash and complimentary places, and anything closer than your last band, still come to you.
- The bands are listed on that set's Policies page automatically. Keep your refund policy wording in line with them.
