Instalment plans
From the organiser's Help guide. This is the page an organiser reads inside their own admin, exactly as they see it. On the demo you can read it but not open the admin behind it.
Bookings → Instalment Plans
- Paying in stages — tick Allow instalments on the event and people can choose it while booking (it isn't offered within two weeks of the start, unless the rest is paid in cash on the day: see below). Instalment plans shows who's paying in stages, how much is left and what's due next; the site emails a pay link when each part falls due.
- How the payments are laid out — once Allow instalments is ticked, more boxes appear beside and below it on the event. Leave the payment boxes empty for the standard plan: 30% when they book, the rest a month later. Or set your own:
- Deposit (%) — e.g. 25 — or Deposit (£) — e.g. 50, the same whatever price they choose. One or the other. Both are per place: someone booking two places on an event that allows it (see Places per booking) pays a £100 deposit on a £50 deposit, and the rest of their plan doubles too.
- Further payments (monthly) — e.g. 3 for three monthly payments after the deposit. None falls later than a week before the event.
- Or Payment dates — exact dates, one per line, up to the event's last day (for a course, its last date). A date on or after the day it starts is allowed, so a course can be paid off as it goes, but you'll see a warning when you save, in case it was a slip. Add an amount to fix it (
23/01/2027 £150); dates without one share whatever is left equally. If fixed amounts don't suit one of your prices, the page warns you when you save, and people choosing that price get its balance split equally over the same dates.
- When a payment is late — the guest gets a Payment overdue email with a pay link, and the plan shows as overdue. The place stays theirs unless you choose otherwise: in Site Settings → Emails & alerts, Give the place up when an instalment is … days overdue cancels the booking that many days after a missed payment. The place goes back on sale (and to your waitlist), you and the guest are emailed, and a note on the booking says how much they'd paid. Nothing is refunded by itself; refund from the booking page if you decide to.
- Changing someone's schedule — open their plan under Instalment plans. Each instalment is a row with its due date and amount in £. Change a date or amount, tick Remove to drop an unpaid one, or fill in a blank row to add one, then press Save. The amounts must add up to the Total; if they don't, the page tells you by how much. Paid instalments are shown with the date they were paid and can't be changed. The reminder email follows the new date.
- Mark as paid — that tick is for an instalment someone pays you outside the website: cash, a bank transfer, a cheque. Tick it on that row and press Save. The instalment then counts as paid, no pay link or reminder goes out for it, the plan shows (by hand) beside it, and a note goes on the booking saying who marked it. If it was the first payment on a booking still awaiting payment, the booking becomes Paid and the place is theirs. Ticked the wrong row? Tick not paid after all on it and save. Card payments through the website are marked paid by themselves — don't tick those.
- Deposit now, the rest in cash on the day — tick Rest in cash on the day next to Allow instalments on the event. The deposit boxes set the deposit (30% if you leave them empty); further payments and payment dates are ignored. Guests pay the deposit by card when they book and bring the rest. It can be chosen right up to the event. Nobody is sent pay links or overdue emails for the cash part. When they pay you, open the booking and press Cash received; the plan is then complete and a note goes on the booking.
