Courses over several dates
From the organiser's Help guide. This is the page an organiser reads inside their own admin, exactly as they see it. On the demo you can read it but not open the admin behind it.
On the event: Course dates, then Selling by the date, then Prices
A course is one event that runs on several dates — five weekends, a six-week block. Three sections of the event form do the work, in the order they appear:
| Course dates | One row per date: the day, the start and end times, and a capacity only if that date differs from the event's. The end date follows the start date; press another day? if a session runs past midnight. A label (Module 1, Week 2 …) is optional. A one-day event needs no rows here at all. |
|---|---|
| Selling by the date | Two settings, both usually left alone. Sell by the date only is for a course with no full-course price: people tick the dates they want and every price is charged per date. Discount for booking every date gives money off when they tick them all. See the three ways to sell below before ticking anything. |
| Prices | Your prices. Tick Drop-in? on a price to sell single dates alongside the full course — the normal way to offer drop-ins. |
The three ways to sell a course
- As one course. Add the dates, add your prices, leave Selling by the date alone. One price, one booking, a place held on every date. The confirmation email lists them all.
- A course you can also drop into. As above, then add more prices with Drop-in? ticked. That tick is all it takes: the full-course prices become the headline and the drop-in ones move behind a “Drop-in” panel on the event page and a tab on the booking form. Still nothing to tick under Selling by the date.
- Dates sold separately, no full-course price. Tick Sell by the date only. People tick the dates they want; each date has its own capacity; set Discount for booking every date if you like.
A course sold only as a whole stops taking bookings 15 minutes after its first date starts. One you also sell by the date stays open: each date drops off once it has started, until the last one. If you use the waitlist, people can join it for one full date, and a place that frees up on that date is offered to them.
Once the course is under way
Two weeks into a four-week course, the full-course price no longer makes sense. Open the event and set On sale until on each full-course price to the day of the last session it still covers. From the next day the drop-in prices become the prices: the event page lists them per date with a note that the full-course price has closed, and the booking page lets people tick the dates that are left. Nothing else to do, and you can clear the date to reopen it.
